Development shop invoicing processing

Currently working at a small development shop at the analyst level and a big portion of my time gets spent processing/ reviewing invoices and tracking budgets. Is this common at smaller shops? If so I’m trying to find a more efficient and organized system then collecting invoices in my inbox and plugging them into a spreadsheet. Any tips would be greatly appreciated.
