VC Analyst Seeking Help to Improve his Deal Flow Sourcing and follow-up's

Hi, gentlemen!

I currently work in a Brazilian VC fund and am responsible for our whole sourcing process. I have some tasks including: - Prospect new startups (not a problem) - Doing quarterly FUP's with startups that are not yet on our investment stage (takes much more time than I would like) - Conducting First Calls or conversations with business from our funnel that are already in our investment stage (problem to structure) - Doing FUP's monthly with those startups with whom I already had this first call - Updating my bosses weekly about the progresses

Long story short, I want to improve the quality of those weekly meetings and the materials from the startups in a structured manner. We now use Pipedrive as a "SRM" - (startup relation management) tool and conduct the meeting through there. It sucks for this purpose and still we use it to conduct our internal meetings. Our tools today are Pipedrive, PPT and GSuite.

If anyone has some insights (or went trough something similar) that could share to improve the processes above or know any kind of consultant who also works helping to solve this kind of problem, I would really appreciate!!!!
