How to gracefully drop off a recruiting process?

Hi all, MSc student in Europe here!

I recently was lucky enough to receive interviews with two top PE funds (one a very famous MF and one a very strong US UMM). Unfortunately the recruiting timelines don’t match and I recently received the SA MF offer and decided to accept.

How do I courteously drop off the recruiting process with the other firm? I don’t want to burn bridges with them as the people I have met there during my first rounds seemed very nice.

Additionally, I want to keep a good relationship with them because I will graduate one semester early and might want to do an off-cycle in another firm before starting an eventual full-time job at the MF in 2024, if I get an offer (MF is aware of this and encouraged me to do an off-cycle and keep them up-to-date with what I’m doing).

What is the best way to let the UMM firm know about this without getting myself blacklisted? Thank you in advance!

They won't blacklist you for dropping out. It's much worse to keep interviewing with an accepted offer in hand. Email whoever is coordinating with you at the firm, either someone from the team or HR. 

"Hi XXX, hope you are well. I wanted to let you know I have accepted another offer and will not be able to continue in the process with XXX firm. I really enjoyed getting to know everyone and appreciate your time and efforts. Best, Name"

Might be different in Europe, but in the US it would be very unusual to do off cycle at UMM unless you have family connections there. The recruiting process is very standardized and typically just SAs on the normal timeline. Most people do off cycle at a no-name boutique.

 

Thank you for your answer! In Europe a lot of people do that to “fill” gap semesters and I know for a fact that this company does a lot of off-cycles that last six months.

Whether I can get the off cycle with them, that’s the hard part lol
