For management meetings and dinners, here are some best practices based on the most helpful WSO content:

  1. Taking Notes:

    • Always take notes, but avoid using your phone as it can come across as unprofessional or disengaged. Even if you're taking notes, others might assume you're distracted or texting.
    • A physical notebook is the best option. It’s discreet, professional, and shows you’re actively engaged without drawing unnecessary attention.
    • Laptops or iPads can indeed take up too much space, especially at a dinner table, and may feel intrusive in such settings.
  2. Engagement:

    • Maintain interest and stay engaged during the meeting or dinner. Avoid looking bored, slouching, or appearing distracted.
    • If you're at a dinner, focus on building relationships and understanding the dynamics of the group. Use downtime to connect with others on a personal level, but avoid being overly intrusive.
  3. Post-Meeting/Dinner Notes:

    • After the meeting or dinner, take a few minutes to consolidate your notes and circulate them to the team if appropriate. This helps maintain a clear record and ensures nothing is missed.
  4. Preparation:

    • Before attending, take 5-10 minutes to prepare. Know the agenda, key attendees, and any relevant background information. This will help you contribute meaningfully if needed.
  5. Professionalism:

    • Always project confidence and attentiveness, even if you’re not actively participating. Your demeanor matters as much as your contributions.

By sticking to these practices, you’ll leave a positive impression while staying organized and professional.

I go to a fair few mgmt meetings and dinners for sell side. For regular meetings, ofc you take notes, not even a question. For dinners, it's pretty much one of two setups.

  1. All analysts Vs CFO/CEO. Like one big table where it's basically an informal Q&A with C Suite. In this scenario, absolutely take notes. Phone or small notebook. Discrete. I have seen people pull out iPads for these but eh, depends on table space. These aren't normal dinners and no one is there to shoot the shit. There will be no talking except to ask mgmt Qs or mgmt answering Qs. These are most common IME.
  2. Small group dinners. Where you're on various small tables with mgmt or one level below C Suite. Rarer. More informal, harder to take notes discretely. So just to try remember stuff.

Tbh you normally only get 0-3 actual useful bits of info and normally it's qualitative/a vibe. So easy to remember.

Would add the following.....

For the small group dinners, the best strategy is really knowing the company well. If you are having dinner, make sure to brush up on the latest earnings call transcripts, performance, guidance, et cetera.

During the dinner, the vast majority of questions will be just repeats of things that management has already said before. As a result, all you really need to remember is the few responses that are different from previous answers given. If you understand what is new information, you probably only need to remember 3 or 4 comments and those should be burned into your head when you hear them.

Man you guys have got to be kidding me. This might be gayer than the PE hardos

Memorise, use the washroom, type everything out before you forget, come back. Repeat 1-2 times depending on how long the event is. Not everything requires an elegant solution.
