Networking Call & Email Timing??

Hey, I'm looking to up my networking efforts now, and I wanna make sure I'm doing this with as high a strike rate as possible.

  1. What time and day is best for sending initial outreach emails? (Analyst, Associate, VP, MD)
  2. When successful, what time time and day should I offer to schedule the call for? (Analyst, Associate, VP, MD)

E.g. Analysts 11am on Tuesdays.....

Days to Send Emails:

  • Tuesday to Thursday
    • Mondays are when people are just getting into the office and are usually figuring out their week ahead
      • On Fridays people are usually thinking about their time off or wrapping up more urgent tasks before the weekend
    • Tuesdays to Thursdays are when they are already in the swing of the week
      • I believe they are more likely to see your email in comparison to the beginning or end of the week

Timing of Emails:

  • 8-9 AM (MDs+)
    • MDs are typically older and tend to arrive to the office earlier than junior employees
      • I have seen them be receptive to early morning emails
      • It can also show that you are a "hustler" in a sense, and many Boomers appreciate that
    • BE CAREFUL to not send the emails too early (like 6 am or so) as you might catch them when they are just waking up, and it can be a negative
  • 10 AM to 2 PM (Associates / VPs)
    • Ideally, 10 AM to 12 PM but you can do up to 2 PM
      • My reasoning for this is typically from 9 - 10 AM most people are settling into the office / checking pertinent emails from overnight / the early morning from their MDs
    • By 10 AM most people are settled in and doing some deeper work prior to lunch
      • After lunch people tend to have meetings and will be more likely to ignore your email if they're on a call with a client or superior
  • 7 - 9 PM (Analysts)
    • By this time, for lower-level employees, their bosses have gone home but they have not yet been bogged down by work they will have to do into the night / overnight (i.e. waiting for comments)
      • You could possibly email Associates as well at this time, but 9t depends on how "sweaty" the shop is and if Associates are treated more like Analysts in term of work load / staffing on deals
    • I would not email anybody VP or higher at this time as it can be seen as rude / stepping on boundaries, particularly for MDs who value their evenings with their families

Timing of Calls:

  • Analysts
    • Try to schedule calls in the later evenings around (7 - 10 PM) as they will be more free to chat and by then, their superiors will have left the office so they will be able to talk more freely
    • Another option is to schedule them during their lunch
      • They usually take the calls when walking or grabbing food, and these calls tend to be shorter and less "honest"
      • Lunch calls tend to be worse than evening calls, but if it's only a lunch call, it's better than not having a call at all
  • Associates / VPs
    • I have found this level tends to schedule networking calls in between client calls so you have to be direct and stick within the prescribed time limits
    • Make sure to try and wrap up 3-5 minutes early as they will cut you off if they have to quickly prepare materials / speak to someone prior to hopping on a client call
  • MDs+
    • MDs will tend to call WHENEVER and sometimes they will just call you when they get a free moment and that could be at ANY TIME of the day
      • Ex: I have had an MD call me and tell me he will call me when he gets in a taxi to a client's office and I just had to be available for his call whenever he hopped in the car
    • MDs also tend to wake up earlier (as they are older individuals), so they may want to call during the morning (7-9 AM) when they are just getting into the office and before the work day gets into full swing
